Overview

This manual describes the translation center features not treated in the remaining manuals for administrators:

Management of assignments

The 'Assignments → All jobs' option in the top drop-down menu will display all jobs sorted by creation date (newest on top).

  • A Search jobs tool is provide for find jobs based on any combination of data on keywords, client, language pair, job status, range of creation dates, range of completion date and sourcing time (also an option to hide or display canceled jobs is included).

The 'Assignments → Assignments' option in the top drop-down menu displays all the tasks that have been assigned to translators.

  • Assignments can be filtered by status (complete, underway, overdue) and by payment info (with or without information)
  • A purchase order can be created by clicking on Add payment info. You can add the rate, the volume (source words), the payment terms and enter a custom PO#:

The 'Assignments → Available tasks' option in the top drop-down menu displays all the open tasks that haven't been assigned to anyone yet.

Finance information

Some basic finance tools are provided as optional:

  • By clicking on Finance -> Accounts payable you will be presented with an overview of money owed to your translators (and other service providers).
  • Clicking on Finance -> Invoices will present the invoices received from your translators (and other service providers).
  • Clicking on Finance -> Purchase orders will display the purchase orders issued to your translators (and other service providers). Each PO is associated with an assigned task.

Management of Settings

Clicking on 'Administration → Settings' leads to the Name and logo page where you will be able to enter or change:

  • your company's logo,
  • your organization's name,
  • the site name,
  • an abbreviated name ( for use, for instance, in email subjects,
  • a support email (the email address to which users will be directed for support, also used as the "From" address for email notifications)

The Payment settings page will allow the setting of:

  • The currency in which financial reports are shown, and the default option in payment forms.
  • The option selected by default when specifying payment terms (ex. in purchase orders)

The Order numbers page enables the setting of custom order numbers (assigned to work orders and jobs).

  • When the option to automatically set custom order numbers is selected, the "custom order number" field of all new work orders will be set automatically, according to the settings below.
  • The structure of the numbers can be set by means of templates, and it can include (order is customer-defined):
    • An auto-incremented number.
    • The current month (2-digits).
    • The current year (2-digits).
  • It is possible to manually set the next auto-incremented number and to specify the minimum width for this field (the numeric value will be padded with zeros if it's less than this wide.)

Management of accounts

The page found at 'Administration → Manage accounts' will let you find any account in your translation center by entering the first / last name or the email address. If no data is entered, it will show all the accounts in your translation center.

  • Accounts can be filtered by:
    • their role (client, translator, admin or manager)
    • their invitation status (any status, accepted, pending or declined)
    • their language pair

The button View invitation will display the invitations sent, including a search feature.

The button Add new accounts will send the invitations needed for creating new accounts, including the information needed by the recipients in order to finalize their profile information. You can

  • Add accounts to a new client
  • Add account to an existing client
  • Add new administrators

The Managers option on the left side of the page and it includes the option to create new manager accounts.

  • This can be done using an existing translation center profile or creating a new manager account.

Useful statistics

The 'Clients → Client statistics' option in the top drop-down menu offers very useful statistics of words delivered and words posted in a given time interval.

    This information can be discriminated and sorted by client or by language pair.

Selecting 'Administration → Workspace statistics' will give you access to other, more varied statistics, collected by month.
