Management of translators
Overview
The translators in your translation center are selected and invited by you, and this manual describes the tools provided for the management of this critical area of your business.
Other translation center features are described in the remaining manuals for administrators:
Viewing your translators
To view the translators currently in the platform, select Translators -> View translators in the top dropdown menu.
- You can filter them by language pair and/or by specialization
- Translators are sorted by the amount of words translated in the platform
To view a translator profile you should open the profile by clicking on the link in any of the pages including the translator, such as the translators page or the Manage accounts page. In the profiles you will find:
- the translators location,
- their approved language pairs and subject areas
- Their experience in your workplace (tasks completed and words translated)
- Email
- Visibility of the profile
- Rates, once they have been set, see below.
- Invoices status (amount due and amount paid)
Adding translators to the translation center
To add a translator to your translation center you can:
- select 'Translators → Add a translator' in the top dropdown menu, or
- click on Add a new translator in the Translators → View translators page.
You will need to enter basic contact information (first name, last name, email and country) and at least one approved language pair. You can also add a specialization, but this is optional.
When you add translators, they will receive an invitation to join the your company's translation center.
To accept the invitation, the translator needs to click on the link provided in the invitation, and then they can sign in their Proz.com user account or choose a username and password.
- If the account is created from a ProZ.com profile, the translators will be able to access your translation center by logging into their ProZ.com accounts. They will have also better profile features.
- If the translator does not have a ProZ.com account, or does not want to associate it with your translation center, they will simply need to add a usename and a password.
Translators will not be able to interact in your translation center until they have not accepted the invitation (and thus created their profiles in the platform).
- Once they do, they will receive an automatic welcome message
- A note in the translators' profiles will tell you when they have not created a username and password for the account, and a link will let you send out a new invitation.
Editing information on translators
To edit a translator basic data, click on Edit profile in the profile page.
- You will be able to edit first name, last name, email address, country and the visibility of the profile.
- Display name is the name that the translator will display in your translation center (for instance different from the user name selected by the translator)
- You will be able to send the translator an email in case the password needs to be modified.
- If the account was associated to a ProZ.com account, the profile will show the same picture there. It is currently not possible to display pictures in profiles created for the translation center.
To edit a translator service data, click on Edit provider in the profile page.
- You will be able to add approved language pairs and subject areas
- Rates can be entered for translation, proofreading and QA. Several currencies can be selected and the rates can be set per source word or per hour.
To store information on the translator, click on Admin notes in the profile page.
- You will be able to post text notes, and to attach files to the notes. This is useful for instance to store additional contact information, more detailed rates, a signed contract or NDA or comments on exceptionally good or not so good performance.
- These notes and files will be accessible only to the platform administrators, so they are appropriate for confidential content.
Other management tools
To send a message to a translator, click on Send a message in the profile page. You can also send a message by clicking on Send direct message from the Manage invitations feature of any job.
- You will be able to enter a subject line and a text message
- The translator will receive the message in the form of an email sent to the address included in the translator�s profile and sent from the support email of the translation center.
- All messages sent to a translator (both from the profile and from jobs) will be available by clicking on the View messages option of the translator's profile.
To view all assignments associated with the translator (different possible roles), click on View assignments in the profile page. By clicking on Task assignments, you will have access to all tasks accepted by a translator. This is a very useful feature.
To view the feedback received by a translator, click on View feedback in the profile page. Feedback can be optionally entered by job posters when the translations are delivered.
To Deactivate the account of a translator, click on Deactivate account in the profile page. You will need to enter a reason for this action. A notification will be sent to the support email of the translation center.
- All the translator's active assignments will need to be revoked before the account can be deactivated.
- Once an account has been deactivated, the admin notes, the messages sent to the translator, the feedback received by the translator and a log of actions on the account will remain visible.
- If the account was never claimed by the invited translator, it can be deleted. No notifications will be sent in this case.
- Once an account was deactivated, you will need to ask for ProZ.com support if you need to activate it again.
Feedback on translators
If this option is selected, all job posters are invited to provide feedback when a job is completed.
They are asked to enter a comment, and to select among the following options:
- Excellent: Surpassed expectations
- Good: In line with expectations
- Poor: Below expectations but usable
- Unacceptable: Not usable
A notification is sent to the support email each time a feedback is posted in any of the two lower levels above.
